This guide provides a central location for LibGuides, LibCal, and LibWizard training information, the LibGuides style guide, LibCafe recorded trainings and presentation slides, and the LibGuides Working Group policies and procedures.

Introduction/Overview

LibCal Events Features:

  • Create and share events with patrons
  • Manage registrationa nd automate communication to users
  • Create your own calendar or contribute to a central USC Libraries calendar
  • Customize your intake form
  • Utilize widgets to display calendar events to your LibGuide

Creating a Calendar

Steps to create a new calendar:

  1. Log into your LibCal account
  2. Click on the "Events" menu button, then click "Create a New Calendar"
  3. Name the Calendar
  4. Assign settings to your calendar.  Suggested customizations:
    1. Registration form- Use a customer registration form to capture additional information
    2. Default LibAuth Configuration- if you want to restrict registrations to users with USC NetIDs, enable this feature
    3. Create a friendly URL for the calendar to enable easy sharing

Creating Events & Event Templates

Steps to create a new event:

  1. In selected calendar, click "Add New Event"
  2. Select whether to create an event from scratch or select an event template
  3. For events from scratch:
    1. Add Event Date, Time & Descriptions
    2. Select Event Location (Online events via Zoom utilizes Zoom integration.  Be sure to identify the meeting organizer, esp if someone else is hosting event so the Zoom link is created from their account)
    3. Event Details: Select additional details such as campus, change the organizer if applicable, option to select multiple presenters, assign categories (if applicable.  See details below about creating categories)
    4. Follow additional setting options
  4. For event templates:
    1. Enter any necessary information from step 3
  5. Final step- when event is ready, change status to "Publish" and click "Submit: Add New Event"
    1. If you're not ready to publish, change status to "Unpublished Draft" and click "Submit: Add New Event" to save

Creating Registration Forms

To create a customized Registration form:

  1. Log into Libcal, select Events from the top menu
  2. Click on the "Registration Forms" tab below "Calendar List" Heading
  3. Click either Create New Form or Copy existing Form buttons to create start customizing a registration form
  4. Name your Registration form
  5. From the Registration form list, click the edit button on your new form
  6. Modify your registration form, enable/disable desired components, add any additional questions you want included
  7. When done, Save and click "Back to Registration Forms"

Calendar Categories

To create custom Calendar Categories:

  1. Log into LibCal, select Events from the top menu bar
  2. Open your calendar from the list
  3. On the tabbed menu, select "Categories"
  4. Click "Add New Top Level Category" button
  5. Name the category & select a color
